Zoom Integration
Ahmed ElazabiCloudReady's Zoom integration connects your Zoom account to the iCloudReady calendar so that every booking can carry its own Zoom meeting automatically. When a booking is created on a booking type with Auto-generate Zoom meeting enabled, iCloudReady creates a scheduled Zoom meeting under your connected account and saves the join link on the booking. This guide covers adding the app, using it, removing it, and troubleshooting.
Adding the App
You connect Zoom from inside your iCloudReady workspace. You need an iCloudReady user account with access to Settings, and a Zoom account (any plan).
- Sign in to iCloudReady at https://app.icloud-ready.com/{your-company}/login.
- Go to Settings → Integration Center and open the Channels tab.
- Scroll to the Communication group and find the Zoom card.
- Click Connect Zoom. You are redirected to Zoom's sign-in and consent screen.
- Sign in to the Zoom account you want to use, review the requested permissions (create meetings for you, and view your basic user profile), and click Allow.
- Zoom redirects you back to iCloudReady. The Zoom card now shows Connected along with the email address of the connected Zoom account.
That's it — the connection applies to your whole iCloudReady workspace (realm), so bookings created by any teammate can generate meetings under the connected account. If the connection fails, see Troubleshooting below or contact us via our support page.
Usage
Auto-generate a Zoom meeting for every booking
Use case: a client books a property viewing, consultation, or demo through your public booking link, or an agent schedules a meeting from the CRM. iCloudReady creates a scheduled Zoom meeting for that time slot under the connected Zoom account and saves the join URL on the booking, where your team can see and share it.
If Google Calendar is also connected for that booking, the calendar event iCloudReady creates carries the Zoom link as the event location, adds it to the conference details, and puts a "Join Zoom" line at the top of the description — so attendees who accept the calendar invite get the link with it.
Prerequisites:
- Zoom is connected in Settings → Integration Center (see Adding the App).
- The booking type has Auto-generate Zoom meeting enabled (Settings → Calendar → Booking Types → edit the booking type and turn the toggle on).
Rescheduling a booking
Use case: a client or agent moves a booking to a new time. iCloudReady updates the existing Zoom meeting to the new date and time — the join link stays the same, so links already sent out keep working.
Prerequisites: the booking already has a Zoom meeting attached, and the Zoom connection is still active.
Cancelling a booking
Use case: a booking is cancelled. iCloudReady deletes the corresponding Zoom meeting from your Zoom account so your Zoom calendar stays clean and nobody joins a dead meeting.
Prerequisites: the booking has a Zoom meeting attached, and the Zoom connection is still active.
Connected-account display
Use case: the Integration Center shows which Zoom account is connected (name and email) so admins always know which account meetings are being created under. iCloudReady reads your basic Zoom user profile once at connection time for this display.
Prerequisites: Zoom is connected.
What data we store, and how
To operate the integration, iCloudReady stores: your Zoom OAuth access and refresh tokens, the connected account's email and display name, and the IDs and join URLs of meetings created for your bookings. Tokens are stored in our database, are encrypted in transit and at rest, are never shared with third parties, and are used only to call the Zoom API on your behalf.
Removing the App
You can disconnect from either side; both have the same effect.
From iCloudReady:
- Go to Settings → Integration Center → Channels and find the Zoom card.
- Click Disconnect Zoom and confirm.
From your Zoom account:
- Sign in to the Zoom App Marketplace.
- Click Manage → Added Apps.
- Find iCloudReady and click Remove.
What happens when you remove the app (implications of de-authorization):
- iCloudReady immediately stops creating, updating, and deleting Zoom meetings for your bookings. New bookings will no longer receive a Zoom join link until you reconnect.
- When you disconnect from inside iCloudReady, we revoke the OAuth token with Zoom and permanently delete your stored access and refresh tokens and the connected-account record from our database.
- When you remove the app from the Zoom Marketplace, Zoom notifies us and we delete the same stored tokens and account data within 10 days.
- Meetings that were already created remain in your Zoom account — we do not delete your existing meetings when you disconnect. Join links already attached to past bookings remain part of your booking history in iCloudReady; deleting a booking removes its stored meeting link.
You can reconnect at any time by following Adding the App again.
Troubleshooting
- "Invalid authorization code" during connection — the sign-in flow was interrupted or the page was refreshed mid-consent. Click Connect Zoom again and complete the flow in one pass.
- Bookings are not getting Zoom links — check that (1) the Zoom card shows Connected in the Integration Center, and (2) the booking type has Auto-generate Zoom meeting enabled.
- Connection stopped working — if you changed your Zoom password, deleted the Zoom account, or your Zoom admin revoked the app, the stored authorization becomes invalid. Disconnect and reconnect Zoom to restore the integration.
- Wrong Zoom account connected — disconnect, then reconnect while signed in to the correct Zoom account (or use an incognito window to force a fresh Zoom sign-in).
